1. General Information and Responsibility The protection of your personal data is a priority for us. This Privacy Statement informs you about how we collect, process, and use personal data when you register for the 58th SSRMP Annual Meeting 2026 (November 5–6, 2026, in St. Gallen) via this Indico platform or submit abstracts.
Responsible for the content-related organization and data processing: Local Organizing Committee (LOC) on behalf of the Swiss Society of Radiobiology and Medical Physics (SSRMP). Contact: annual-meeting@ssrmp.ch.
2. Collection and Processing of Personal Data During registration and abstract submission, we collect identification data (name, email), professional information (institution/affiliation), registration details (status, social events, payment data), and, if applicable, dietary requirements. The platform is technically operated by the Paul Scherrer Institute (PSI).
3. Purpose of Data Processing Data is processed exclusively for the organization, execution, and administration of the conference, including invoicing, planning the scientific program, and managing on-site logistics.
4. Use of Participant List and Publication in the Meeting Booklet Your data will be treated confidentially and used as follows:

Internal Participant List: The participant list is used exclusively by the Local Organizing Committee for internal purposes. At the on-site registration desk, it serves only to verify registrations and record attendance. No participant list will be handed out, published, or made digitally accessible to other attendees or third parties.

Meeting Booklet / Program: In the event of an abstract submission, the name and affiliation (institution) of the authors will be published in the Meeting Booklet (digital and/or printed) to represent the scientific program.

Service Providers: Data is only passed on to third parties (e.g., catering) in anonymized form (e.g., total number of meals) where necessary for the execution of the event.
5. Photographs during the Congress By registering, I agree that photographs may be taken during the congress. These recordings may be shown on screens at the venue during the event, and may be published on the website, in SSRMP communications (e.g., the SSRMP Bulletin), and in the SSRMP newsletter.
6. Storage Duration and Archiving We store your personal data only as long as necessary for the execution of the event and compliance with legal retention periods (e.g., accounting). Lists used for on-site check-in will be destroyed after the event. The Meeting Booklet and abstracts may remain permanently available on the platform as part of the SSRMP’s scientific archive.
7. Your Rights You have the right to access, correct, or delete your personal data at any time. For such requests, please contact us at annual-meeting@ssrmp.ch.
