OPERANDO VII Terms and Conditions

DEFINITIONS

These Terms and Conditions apply to every person registering as a regular or student delegate for the 7th International Conference on Operando Spectroscopy (OPERANDO VII), to be held in Grindelwald, Switzerland from May 7th, 2023 

All references to a date or a deadline, mentioned in these terms and on other conference documents, refer to the Central European Time Zone (CET).

CONFERENCE REGISTRATION

A preliminary confirmation will be sent after the receipt of your registration. Participation at the conference is only final upon receipt of your credit card payment. If the full payment has not been received before the deadline indicated, the registration will remain valid, however the due fee will be increased according to the payment period (early/regular).

The registration fee includes the congress fees (entry to all conference sessions, meals and coffee breaks in the frame of the organized program (Sunday to Wednesday), accommodation in Sunstar Hotel Grindelwald (4 nights, Sunday to Thursday), breakfast (Monday to Thursday), opening reception (Sunday), the congress dinner (Wednesday), visitor's taxes and congress material.

METHODS OF PAYMENT

Payments should be made in advance using a credit card.

CANCELLATION POLICY

A cancellation of a paid and therefore valid registration is not intended. Substitutes can be arranged without additional costs if you supply us with the details as soon as possible.

Delegates wishing to cancel their registration, will be eligible for a full refund  only up to March 17, 2023. Delegates cancelling registration between March 17, 2023 and April 28, 2023 will be eligible for a 50% refund. No refund is possible after that date. Be aware that refunds will be paid minus a handling fee of CHF 50.00.

Notice of cancellation (e.g. in case of sickness, lack of funding or any other personal reasons) must be made in writing by email to operando7@psi.ch. The notification must include all relevant information regarding the bank account to which a possible refund may be remitted.

 

INSURANCE

The registration fees do not include insurance of any kind. Participants are advised to take out personal insurance, including cover for travel, accommodation and personal possessions. The conference hosts do not cover individuals against the cancellations of bookings for any reason including cancellation or postponement of the meeting or for theft or damage to belongings.

LIABILITY

The event organisers will not be responsible and cannot be held liable for any loss or damage of personal property, accidents etc. that may occur during or as result of attending the OPERANDO VII conference. Conference attendees are responsible for any losses or damage they cause to personal property and to the event and accommodation premises during their attendance at the OPERANDO VII conference and must indemnify the event organisers for any cost arising to them due to such losses and/or damage.

PRIVACY

By completing and submitting your registration details, you agree for your personal information to be passed on to the OPERANDO VII Organising Committee for conference-related purposes. Unless you contact the Local Organising Committee directly to request otherwise, you provide permission to the organisers to make your name and affiliation available to conference delegates. Based on the contact details you provide, you will also receive conference-related communication including electronic newsletters from organisers, from which you can unsubscribe at any time. Your personal details will also be used to prepare nametags.

LETTER OF INVITATION

Individuals requiring an official Letter of Invitation from the conference organisers can request one through the online registration form. To receive a Letter of Invitation, delegates must first register to the conference and submit any necessary data, as stated on the online form.

The Letter of Invitation does not financially obligate the conference organisers in any way. All expenses incurred in relation to the conference, the registration and the attendance are the sole responsibility of the delegate.

VISA REQUIREMENTS

It is the sole responsibility of the delegate to take care of his/her visa requirements. Delegates who require an entry visa must allow sufficient time for the application procedure. Delegates should contact the nearest Swiss embassy or consulate to determine the appropriate timing of their visa applications.

CANCELLATION OF THE CONFERENCE

In the event that the conference cannot be held or is postponed due to events beyond the control of the conference organisers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the conference organisers, the conference organisers cannot be held liable by delegates for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, costs for additional orders, financial losses, etc.

Under these circumstances, the conference organisers reserve the right to reimburse the delegate after deducting costs already incurred for the organisation of the conference and which could not be recovered from third parties.

DATA PROTECTION AND DATA SECURITY

The parties undertake to comply with the provisions of Swiss data protection legislation and to effectively protect data arising in the framework of contract performance against unauthorised access by third parties.

SEVERABILITY

The invalidity or unenforceability of any provision of this Terms and Conditions shall not affect the validity or enforceability of this OPERANDO VII Terms and Conditions in its entirety or of any other provision of this OPERANDO VII Terms and Conditions. The Parties or the court shall replace the invalid or unenforceable provision by a valid and enforceable one which as closely as possible achieves the economic purpose of the invalid or unenforceable provision.

APPLICABLE LAW AND PLACE OF JURISDICTION

These Terms and Conditions as well as any contractual or non-contractual obligation are governed by the laws of Switzerland, excluding the conflict of laws rules in force.

Any dispute shall be finally settled in accordance with the ordinary courts of Aarau, Switzerland. Notwithstanding the preceding provision, the conference organiser is entitled to apply for interim measures at any competent court having jurisdiction.
